Aircraft media can look finished and still be wrong. A clean exterior, polished cabin, and tidy PDF do not help if the image shows the wrong configuration, an old interior, a private detail, or a caption that says more than the operation can support.
The Visual QA checklist belongs at the final release gate. Photography, copy, spec review, and file packaging may already be complete. This step asks one different question: is this media safe, accurate, current, and ready to appear where buyers and brokers will see it?
Use it before aircraft media goes live on a fleet page, broker platform, PDF or deck, email, approved social post, or owner-facing packet. The goal is not drama. It is catching small public-facing mistakes while they are still easy to fix.
Confirm aircraft identity first
Start with aircraft identity. Match the visual asset to the aircraft type, model, variant, cabin configuration, base airport, and approved public description. If the file uses a tail number or internal aircraft ID, confirm whether that identifier is for internal QA only or approved for public use.
This check matters across Part 135, Part 91, managed aircraft, and resale contexts. A photo can be accurate as an image and still wrong for the channel if it implies the aircraft is charter-authorized, owner-approved, based somewhere else, or attached to the wrong certificate-holder.
The QA owner should compare media against approved aircraft facts, not memory. Check fleet page data, broker profile fields, spec sheet, sales deck, and current operator records before release.
Match visuals to current facts
A current interior is one of the easiest details to miss. Seats, carpet, sidewalls, tables, galley finish, lav, baggage access, Wi-Fi equipment, power outlets, cabin entertainment, and placards can change while old images keep moving through folders.
Check each selected image against approved aircraft facts: passenger count, configuration, base airport, amenities, cabin notes, owner limitations, public-use approval, and whether the image belongs on the fleet page, broker platform, PDF or deck, or private review folder.
If an image shows an old layout, retired amenity, prior paint condition, old soft goods, or an aircraft no longer in the same program, hold it. Do not make the file look current with a new crop or caption.
Run privacy review before release
Privacy review is not only a legal concern. It is operational respect. Review windows, screens, cockpit displays, reflections, tablets, paperwork, baggage tags, passenger artifacts, hangar signage, ramp context, and background aircraft before anything leaves the controlled folder.
FAA registry resources now point private aircraft owners toward processes for withholding certain personally identifiable information from broad public display. That reinforces the same practical standard: do not put owner identity, home-address detail, or owner-sensitive clues into public media just because they appear in a polished image.
Crew personal details, security-sensitive procedures, private trip records, full maintenance or logbook packages, maintenance detail, and internal risk notes do not belong in public media folders. If a detail is useful for broker or owner review, keep it in the approved controlled channel.
Check crops by channel
A beautiful file can fail in the wrong frame. Run a crop check for the places the media will actually appear: desktop fleet page, mobile crop, aircraft card, broker platform gallery, PDF header, printed sheet, email preview, and approved social format.
Look for clipped tails, distorted cabin scale, cut-off winglets, awkward engine crops, blocked entry doors, missing baggage context, unusable lav views, and text overlays that hide aircraft information. The goal is to catch presentation errors before the audience sees them.
Keep one approved master and export channel-specific crops from it. If a crop needs heavy retouching, misleading framing, or a caption to explain what should be visible, it probably belongs back in review.
Review color, retouching, and condition
Color grade should make the aircraft legible, not turn it into a different cabin. Check leather, carpet, wood, metal, paint, sky, ramp tone, and cabin window exposure against the real aircraft and the rest of the fleet presentation.
Retouching can remove temporary distractions such as dust, fingerprints, loose packaging, glare, or small ramp clutter. It should not hide condition issues, change permanent aircraft features, erase required placards, enlarge a cabin, or make an older interior feel newly refurbished.
The release question is simple: would the aircraft still feel honestly represented if a buyer, owner, broker, crew member, or DOM stood in front of it tomorrow?
Audit metadata, alt text, and filenames
Google image guidance supports descriptive filenames, relevant nearby text, structured data, and useful alt text. Harvard accessibility guidance adds a practical constraint: alt text should explain why the image matters in context without repeating nearby copy.
For aircraft media, that means descriptive filenames such as aircraft type, view, channel, version date, and crop use. Avoid camera filenames, vague exports, or keyword-stuffed names. Descriptive filenames help teams manage files and give search engines light context.
Alt text should identify the aircraft context without overclaiming. A useful line might name a Citation cabin seating view for a fleet page, not list every possible keyword. Check that alt text does not imply unavailable amenities, aircraft authorization, owner identity, or route capability.
Verify release approval and usage rights
Every public file should have an approval owner. Confirm owner approval, public-use approval, usage rights, channel limits, date approved, and who can answer questions after release.
Broker-facing material needs extra clarity. Avinode materials show brokers using uploaded aircraft photos, information, and amenities. FAA and broker-disclosure resources also reinforce that aircraft authorization, direct-carrier role, and operational-control wording must stay accurate. Marketing should not infer those facts from a nice image.
If a file is approved for a private owner deck but not public web use, label it. If it can be used on the fleet page but not social, label it. If it needs legal, compliance, owner, or certificate-holder review, hold it until that owner says yes.
Archive older files before publishing
A release gate should retire old media as well as approve new media. Archive older files, old galleries, retired PDF exports, stale broker folders, previous color grades, old captions, and outdated spec-sheet images before new files spread.
Use a visible version date on approved folders, PDFs, decks, and image exports. The version date lets sales, brokers, owners, and operations know which files belong in circulation and which files should stop moving.
Also create a rollback path. If a fact changes, an owner approval changes, a crop fails on mobile, or an aircraft moves off a channel, the team should know which file to pull, where it lives, and what approved replacement should go up.
The release gate is where polished media becomes public truth.
