A photo mission around an operating aircraft needs a call sheet before it needs a mood board. The aircraft may be flying Part 135 charter, moving under Part 91 owner use, waiting on maintenance, sitting inside a quick turn, or parked where the FBO still owns the ramp flow.

The call sheet is the shared operating document. It tells the DOM, dispatcher, crew, line crew, FBO, owner representative, and creative team what is approved, who owns each decision, and when the shoot stops.

That discipline matters because the aircraft is not a prop. It can move, fuel, be powered, get cleaned, board passengers, enter maintenance, or leave early. The call sheet makes the photo mission useful without asking the operation to guess what the creative team needs next.

Start with aircraft and approval facts

The first block should identify the operating aircraft in the way the operator approves for internal use: tail number or internal aircraft ID where appropriate, aircraft type, operating context, current base or mission location, and whether the project is for fleet page crops, broker platform crops, owner review, print collateral, or archive replacement.

Add the approval owners beside those facts. Who approves public-use photography? Who confirms owner approval? Who verifies aircraft facts? Who can clear a cabin image for public use? Who can pause the mission if the aircraft status changes?

This block should also state what cannot be shown: private owner material, passenger artifacts, unapproved identifiers, maintenance detail, security-sensitive ramp context, or any aircraft condition that needs review before publication.

Name the location and support plan

A call sheet should make location real. List the FBO, ramp access path, hangar access if approved, parking position or staging area, vehicle rules, badge or escort needs, and the operator contact who cleared the plan with the airport or FBO.

Support requests belong in the document, not in a casual text after arrival. Note whether the shoot needs a tug, GPU or battery cart, cabin power, repositioning approval, ladder or platform restrictions, cleaning support, lav access, water service, catering removal, or a defined quiet area for gear.

FAA ground-handling guidance and airport procedures reinforce the same point: local airport, FBO, and operator rules control what can happen around aircraft. The call sheet should respect those rules instead of improvising on the ramp.

Capture aircraft status and timing

Aircraft status is the difference between a workable plan and a fragile one. The call sheet should show arrival time, earliest access, latest release time, maintenance window, cleaning status, fuel status or fuel timing, cabin power availability, and whether the aircraft is inside a quick turn.

Dispatch should have one clear line for the mission: planned window, priority shots, stop rule, and who gets notified if a trip changes. The photo team should not ask dispatch to protect the shoot ahead of aircraft movement, crew duty, maintenance, owner use, or passenger needs.

Include crew availability only in the controlled call sheet, not public files. Crew can verify aircraft state, owner limitations, cockpit access, cabin setup, and safety-sensitive boundaries, but the document should protect their time and private details.

Define cabin setup and reset

Cabin setup should read like a checklist: seat position, belts, tables, shades, lighting, galley, lav, baggage area, power outlets, Wi-Fi placards if relevant, screens, cabin temperature, loose catering, cleaning status, and any owner-specific presentation limits.

The call sheet should say who can touch what. Some items are harmless. Others require crew, maintenance, line service, cabin attendant, or owner representative approval. If a seat, panel, drawer, berth, galley item, or avionics detail is not approved for movement or photography, mark it clearly.

Cabin reset is part of the mission. Document the required end state: tables stowed or set, seats returned, shades reset, gear removed, cabin cleaned, lav closed, baggage area secured, and any aircraft covers, chocks, power, or cabin switches returned to the approved state.

Prioritize the shot list by business use

A useful shot list starts with the images the operation actually needs. Rank must-have shots before creative options: exterior hero, exterior profile, entry, cabin wide, primary seating, table setup, galley, lav, baggage, flight deck if approved, amenity details, and any current upgrade that buyers or brokers ask about.

Tie each shot to a destination. Fleet page crops need clean composition and aircraft identity. Broker platform crops need current views and useful details. Owner decks may need a more controlled story. Print assets need enough resolution and safe margins. Usage rights and public-use approval should be visible before files move.

Keep claim limits beside the shot list. If an image could imply unavailable amenities, aircraft availability, cabin size, route capability, safety status, or charter authorization, the call sheet should flag that before editing or captions begin.

Plan the weather window and alternate path

Weather belongs on the call sheet because it changes ramp safety, light, aircraft movement, and cabin workflow. Record the preferred weather window, sun direction if relevant, wind or precipitation concerns, hangar fallback, interior-only fallback, and who decides when the exterior plan changes.

FAA ground vehicle guidance notes that pilots may have limited visibility around aircraft and vehicles should yield to moving aircraft. That matters during exterior work. The call sheet should keep people, gear, carts, and vehicles away from aircraft movement unless the operator and FBO have cleared the path.

The alternate plan should preserve the highest-value assets. If exterior work drops, capture cabin sequence, galley, lav, baggage, spec-sheet details, and approved detail images. If cabin access drops, capture exterior identity, ramp-safe angles, and operational context that can still serve approved channels.

Set the stop rule and release path

The stop rule should be blunt. The mission stops when dispatch, crew, maintenance, FBO, owner representative, safety concern, weather, aircraft movement, passenger need, or airport procedure requires it. Nobody should need to negotiate that at the aircraft.

The release path should be just as clear: who confirms aircraft reset, who confirms gear is clear, who tells line crew the aircraft is ready, who signs off cabin reset, who receives immediate notes, and who owns the version date on the finished asset folder.

After the mission, hand off a short record: what was captured, what was skipped, what needs privacy review, what needs owner approval, what files are cleared for fleet pages or broker folders, and what should not enter public-use circulation.

Keep the document usable

A photo mission call sheet should be short enough to use on a phone and specific enough to prevent guesswork. One page can hold the core fields. A second page can hold the shot list, contacts approved for internal use, and release checklist.

Use a visible version date. Aircraft facts, base, aircraft status, owner approval, privacy limits, FBO rules, and asset destinations can change quickly. A stale call sheet is worse than no call sheet because it looks official while carrying old assumptions.

Airside uses this kind of planning because private aviation media work happens inside real operations. The work has to respect aircraft movement, crew time, FBO rules, and owner boundaries while still creating the images and files the business needs.

Make the call sheet boring enough to work

The best call sheet is not dramatic. It is clear. It names the aircraft, location, FBO support, aircraft status, timing, cabin reset, weather window, shot list, stop rule, and release aircraft path before anyone steps onto the ramp.

That structure protects the operation and improves the work. The DOM sees what is being asked. The FBO sees what support is needed. Crew and dispatch see who owns decisions. The creative team sees what must be captured first.

For an operating aircraft, that is the standard: useful media work built around the aircraft's real day, not around wishful production assumptions.
